Responsibilities

Facilities Dept Administrative Support

  • Manage the small parcels accounts (Fed Ex, UPS, DHL)
  • Accounts Payable Scanning
  • Security/Badge Creation
  • Facilities Invoicing / Vendor Creation / Purchase Order Creation
  • Prepare miscellaneous departmental reports & presentations as needed
  • Special Facilities Projects as needed

 

Record Retention

  • Record administrator for the Philadelphia Office Services Team.
  • Assure that the group understands their obligations, under the policy.
  • Supports the Philadelphia site record retention clean up days and provides additional support for extra storage bins.
  • Administer off-site records retention policy compliance, destruction reviews, and litigation holds
  • Provide support to record retention administrators on policy and procedures for off-site records storage

Lease Coordinator

  • Gather & identify all FMC Building leases into one centralized repository
  • Create a lease abstract for each site and keep up to date
  • Identify risks & exposures to business units, including key dates for execution of business decisions for each Business through Visual Lease Reporting System
  • Prepare and edit presentations utilizing technology for graphics and mapping

 

 

Required Education

Education

  • High School Degree; Associates Degree Perferred

 

Qualifications

  • Minimum of 5-7 years work experience in an administrative function in a corporate environment
  • Previous experience reviewing contracts or leases and the ability to decipher & analyze details is preferred
  • Outstanding mathematical & analytical skills and the ability to create financial models is preferred
  • Understanding CAM {Common Area Maintenance} and operational expense impacts as it relates to leases is preferred
  • Solid working knowledge in computer applications to include Microsoft Word, Excel, Advanced PowerPoint; SAP is preferred
  • Ability to learn new technologies and database systems
  • Able to learn the key FMC business processes to ensure vendors are paid in a timely fashion, other administrative demands are met
  • Should be flexible and adaptable to changing environments
  • Follow through with all projects until final delivery
  • Ability to multitask with a high level of attention to details
  • Ability to prioritize work independently and exercise sound judgment
