    Overview

    This is an exciting opportunity to join the FMC and report direct to the Canada Country Manager.   This position is highly visible and liaises with contacts at all levels in the organization, industry and community.

     

    The successful candidate will perform a full range of complex secretarial, administrative and general office duties of a responsible and confidential nature.

    Responsibilities

    • Provides high level administrative support for management staff.
    • Responsible for heavy calendar management, requiring interaction with both internal and external executives and assistants, as well as consultants.
    • Assist with onboarding new employees in conjunction with the respective hiring manager: securing assets such as phones, business cards, company vehicle, company credit cards, computers, etc
    • Arrange travel schedule and reservations for the staff.
    • Manage, prepare & submit expense reports
    • Manage postage and courier accounts. Coordinate and distribute mail.
    • Create purchase requisitions utilizing SRM and follow through to PO creation and manage goods receipts and invoices
    • Handle invoice reconciliation and Webcycles
    • Order business supplies using purchasing card and reconcile monthly charges based on needs of multiple cost centers
    • Handle all aspects of arranging internal or external meetings, conferences and conference calls - both on-site and off-site
    • Preparation and maintenance of a master staff phone and address list
    • Assist with coordination of special, group & community events and team activities
    • Strong coordination with the Executive Assistant to the VP, Ag Solutions, for executive customer meeting planning
    • Coordination and support for sales-related meetings
    • Produces and proofs complex presentation materials.
    • Reviews and summarizes miscellaneous reports and documents; prepares background documents and organizes outgoing mail as necessary.
    • Contacts and arranges communications very effectively with internal/external sources (business, teams, consultants, I-banks, other advisors, target companies.)
    • Prioritize and manage multiple projects simultaneously, and follow through on issues in a timely manner.
    • Support management of complex and confidential records,
    • Assists other personnel in resolving concerns, issues, needs (as appropriate).

    Required Education

    • 5-7 years prior experience required
    • A certification program, associates or college degree is a plus.

    Qualifications

    • Strong expertise in MS programs- PowerPoint, Excel, Word, Outlook and other applications.
    • Should be flexible and adaptable to changing environments.   
    • Will be required to follow through with all projects until final delivery. 
    • Candidate needs to work well in a team environment and take projects on from multiple staff members. 
    • Position requires a strong customer service disposition; the ability to deal with numerous departments and a candidate with strong attention to detail.
