    Overview

    This position supports the Chief Financial Officer (CFO) of FMC, as well as the Director of Investor Relations (IR). The Executive Administrative Assistant will perform the full range of complex administrative and general office duties for these executives, including logistics planning for investor and other major company events.  This position is highly visible and communicates with contacts at all levels in the organization, industry and community.  This position interacts with FMC’s Board of Directors, investors, as well as executive/senior management and employees at all levels, and does so in a respectful and friendly manner. The successful candidate must have expertise in SAP, MS Office programs such as PowerPoint, Excel, Word, OneNote, SharePoint and other applications, plus the agility to quickly learn new technology platforms. It is critical that the person filling this position is extremely trustworthy and can act with discretion to maintain confidentiality when handling sensitive business information.  Further, this position also serves as back-up to the Executive Administrative Assistant for the Chairman & Chief Executive Officer and President & Chief Operating Officer of FMC.

    Responsibilities

    CFO Support

    • Provide administrative support for the Chief Financial Officer (CFO)of FMC, including record-keeping, domestic and international travel arrangements, and other administrative activities as needed.
    • Proactively manage CFO’s calendar and access to the CFO, using appropriate discretion and adjusting rapidly as priorities shift.
    • Handle incoming and outgoing communications, including hard-copy, electronic and telephonic, on behalf of the CFO.
    • Interact extensively with internal and external executives and assistants, as well as analysts and other financial/strategic advisors, to coordinate a variety of complex meetings.
    • Assemble the quarterly earnings virtual notebook in OneNote, including all earnings release materials as well as extensive back-up information.
    • Prepare materials for regular Chairman’s Committee and Board meetings.
    • Coordinate materials for quarterly financial reviews.
    • Produce and proof other presentation materials as needed.
    • Support various special administrative projects as needed.
    • Process invoices for service providers working under direction of CFO.
    • Prioritize and manage multiple projects simultaneously and follow through on issues in a timely manner.   

     

    Investor Relations Support

    • Manage the scheduling of monthly (~ 30 – 50) and quarterly (~ 30 – 50) IR calls with sell-side analysts and buy-side investors.
    • Create basic press releases and coordinate their release with Corporate Communications for earnings date announcements and conference announcement.
    • Coordinate IR marketing activities, including Investor Conferences, Non-Deal Road Shows (NDRS), FMC site visits, etc. This includes responsibility for making travel and meal arrangements, assisting with day-of logistics issues, registering for conferences, and coordinating logistical details for NDRS.
    • Support Quarterly Earnings Call and preparation process by setting up internal meetings for all Earnings Material reviews with key Executives and managing all aspects of the logistics for the call.
    • Manage invoices from all IR vendors, including review/sign-off, submission to accounts payable for payment, and record-keeping.
    • Monitor “Investor Info” email account daily, forwarding on relevant emails to Director of IR for follow-up.

    Required Education

    • A certification program is required; associates or college degree is a plus.

    Qualifications

    Qualifications:

    • At least 8-10 years prior experience required supporting senior-level executives
    • Attention to detail
    • Strong expertise in MS Office programs- PowerPoint, Excel, Word, OneNote, etc.
    • Experience working with SAP
    • Familiar with Drobox, OneDrive, and other cloud based data sharing services
    • Ability to learn new technologies and database systems
    • Flexible and adaptable to changing environments

    • Open to working early morning or later hours as needed (including being available as needed should issues arise during supported Executives’ travel)
